Terms and Conditions:
Airport Transfers: A 24-hour minimum notice to cancel is required for a refund on all airport transfers.
 Minimum Rental Requirement: Stretch limousines have a minimum 4-hour rental. Limo Buses have a 5 hour minimum rental. Minimum hours vary, depending on weekdays and holidays and specific events. (example: Derby/Keeneland dates and seasonal months).  Affinity Air scheduling may prevent any changes in time or destinations once the event begins. 
 Payments: All reservations must be paid in full at time of booking unless otherwise pre-approved. Chauffeur gratuities/tips may be paid directly to the Chauffeur or prepaid in advance.  (Industry Standard is 20% of the total bill.) 
 Event Overtime: Overtime availability is not guaranteed. Allow for delays in loading and unloading at the final destination. These delays must be completed within the time frame of the reservation as posted in the duration on the reservation form. The vehicle will be inspected prior to departing for any damage or items that may have been left behind. Overtime will be billed in 15 minute increments at the same hourly rate as stated in the contract. Continuing the rental past the scheduled arrival time must be coordinated with the Chauffeur. It is at the Chauffeur's discretion to determine if overtime is available after coordinating with his/her dispatcher. Any overtime that subsequently interfers with the next client’s event, will result in a charge that is 2 times the value of the overtime rate. 
 Cancellations/Refunds: A $15 cancellation fee may be charged for airport transfers and $40 for all other events.  No deposits or prepaid monies will be refunded for  “no shows or cancellations within 24 hours” of the scheduled event date.  All cancellations must be in writing. Affinity Air "no shows" will result in a full refund with no other compensation or charges.. 
Stretch limos, vans, and limo bus reservations canceled within 30 days of the scheduled event are non-refundable but may be rescheduled (one time) within the following 30 days, (pending availability at time of rescheduling),  A $250 non refundable deposit maybe collected for limo bus rescheduals or 1/2 the cost of the vehicle rental, with a maximum of $250 for all other vehicles.  All other requests for refunds must be in writing and will be addressed on a case-by-case basis. Limo/bus/stretch reservations canceled within 30 days of the event are non-refundable unless the vehicle is rented for the same or higher value. The Client's electronic or hand written signature, will be the acceptable instrument in agreeing to the terms listed here in and this refund shall be the full extent of all monies due with no further action to be sought with regards to compensation or payment.
 Itinerary Details: A mutually agreed upon pick up location by the client and the company is required at time of booking. The Chauffeur reserves the right to travel on adequate public or private roads. If he or she deems the road is unacceptable, or the waiting area is unacceptable, another alternative location will be selected at his/her sole discretion. Affinity Air recommends the client to confirm the times and addresses no more than 48 hours prior to the event. If confirmation is not made, Affinity Air  is not responsible for errors associated with your scheduled event. Affinity Air  recommends that the client notify the Chauffeur of any known construction, traffic, road closures, conditions or accidents that maybe encounter the day of your event. Affinity Air is not responsible for delays due to traffic, unknown/unforeseen mechanical failures or situations deemed as an act of nature, terrorism, adverse weather, power outages, or any conditions that are beyond the control of the company or the Chauffeur. In the absence of pre-planned stops, Affinity Air recommends that the client notify the Chauffeur in advance with the exact destination address. Verbal directions should be kept to a minimum and be given in advance of any turn or stop.
 
Customer Conduct: All passengers must remain seated any time the vehicle is not parked. The client is responsible for the conduct of their travel companions while in and around our vehicles. The Chauffeur may terminate the event at any time if the passengers are not complying with all company policies. Once the event begins and subsequently the client violates any company policy resulting in the termination of the event, any and all deposits and event charges are forfeited and no refunds will be given. Smoking, chewing tobacco, electronic cigarettes and eating in the vehicle is prohibited. $250 will be assessed if any passenger becomes ill while on board any vehicle or departs the vehicle with an unreasonable amount of litter. Affinity assumes no responsibility for articles left in the vehicles. Broken or missing glassware are $15.00 each. An additional $250 charge, per occurrence, will be charged if the smoking policy is violated. If the Chauffeur determines that the behavior of you or your travel companions, for any reason, is unprofessional, unsafe, illegal, dangerous, belligerent, racist, or irresponsible to another human being or to any property, he or she may terminate the event immediately, with or without warning. No refund will be given and we reserve the right to refuse service when necessary. Passengers under 21 will not be allowed to consume alcoholic beverages on board any Affinity Limousine vehicle. The use or possession of illegal drugs is strictly prohibited on board any company vehicle. If one of these rules is violated, we reserve the right to call law enforcement to assist the driver and the event will be terminated with no refund. Do not ask the Chauffeur to leave the vehicle unattended. Affinity Chauffeurs will not be liable nor shall the company be liable for maintaining child care for passengers that are minors. We strongly recommend at least one adult guardian over the age of 21 accompany any children under 18. Our vehicles maybe equipped with an on board cameras for security purposes only. This signed contract is your authorization and permission to be monitored for your security and that of the Chauffeur and company vehicle. You agree to be solely responsible for actions, decisions and judgments made and exercised during and after the completion of your event. We shall not be held liable for damage or harm, to property or person(s), unless such is caused by the intentional gross negligence on the part of the Chauffeur. You agree that our company and anyone associated with the event or service hold no liability for your actions during or after the completion of your event. If damage to the vehicle occurs you agree to be financially responsible for any loss of revenue subject to downtime, per each hour lost in additional to the inability of using the vehicle on another run following your rental.
 Misc: There are no refunds for vehicles on days with temperatures at or above 78 degrees or for vehicles with electronic malfunctions. We reserve the right to upgrade your vehicle to accommodate your event due to mechanical issues or circumstances beyond our control.  In the unfortunate event of inclement weather such as snow, sleet, hail, icy roads and excessive rain storms, we reserve the right to use an alternate vehicle or reschedule your booking. Your safety is our top priority.
By engaging our services all clients agree to all financial responsibility for any damages, caused by accident, intent or negligence. The violation or cancellation of any provision(s) within this contract shall not affect the validity of any other provision(s).
All terms and provisions shall be held enforceable as per Ohio State Law. By signing below, you agree the contract transpired and concluded within the city of Newtown, Ohio in Hamilton County.
